Clinic policies.

Any therapist-client relationship must be built on a foundation of mutual respect and trust, and my clinic policies are designed to support that. All clients booking with Viveca Massage & Wellness must agree with the following policies.

Privacy Policy

Prior to your first appointment, you will complete a confidential health history form online. This form must be updated every 2 years or any time there are significant changes to your health history (e.g. surgery, major illness).

To best serve you, I may need to discuss your case with the other healthcare providers involved in your care. In that event, I’ll ask permission to share the information in your file with those members of your health care team, as it can only be released with your consent or as required by law.

Cancellation & Late Arrivals Policy

A credit card is required on file to hold your appointment time. The clinic maintains a 24-hour cancellation policy. If you cancel or reschedule your appointment with less than 24 hours' notice, the card on file will be charged for 50% of the booked session fee. If you arrive late, your appointment may be shortened. Clients are responsible for the cost of the booked session length. If you are more than 30 minutes late for an appointment, your appointment is considered cancelled and 50% of the full fee will be charged.

This policy protects my time, and I also have a policy to protect yours: if I ever have to cancel your appointment within the 24-hour window, your next massage of the same length will be 50% off.

Appointment Times

Please arrive no more than 5 minutes early for your appointment. If you arrive earlier than that I may not be ready for you, and there is no waiting room area.

The time you have booked is the length of your entire appointment, not the hands-on massage time. Your appointment time includes an intake consultation to determine our treatment plan for the session, the treatment itself, and homecare assigned after the treatment.

At your first visit, we’ll conduct a thorough intake interview to cover your health history and goals. Depending on the reason for your visit, orthopedic assessments may be required to provide a safe and effective treatment. I provide a detailed description of my treatment plan so we are both clear on the areas we’re going to be working on during your session. I obtain verbal and written consent if we need to work on any sensitive areas (glutes, groin, inner thigh, and chest wall).

Please be aware that the actual hands-on time is rarely the full length of the appointment time. Expect up to 20 minutes for the intake interview at your first visit, and up to 15 minutes for intake and exit (homecare assignment) for subsequent sessions.

If you’d like more hands-on time, I recommend booking 75 or 90 minutes.

Pet Allergy Alert

My household has three cats. We have no carpeting (there is an area rug in the family room), and the floors are vacuumed daily to minimize cat hair. The cats aren’t allowed in the massage room when it’s set up for a client, but please keep them in mind if you have allergies that need to be managed.

Masking

At this time, clients are not required to wear a mask in the treatment space, though they are welcome to do so if they wish. If you’d like me to wear a KN95 mask, please let me know prior to your appointment and I will gladly do so.

Refusal of Service

I maintain the right to refuse or discontinue treatment at any time. This is for my safety, as well as for yours. Reasons may include, but are not limited to, the following:

  • intoxication

  • derogatory or bigoted comments

  • jokes, comments, or behaviour of a sexual nature

  • illness or infectious conditions

  • contagious or unidentified skin conditions (e.g. rashes, warts, boils)

If you develop a skin condition, please get your doctor’s written permission before receiving massage. If you exhibit any of the aforementioned conditions or behaviours, you'll be denied treatment and charged the full cost of the appointment.
